Lead Admin

Job Title: Lead Admin
Department: Central
Status: Part Time (25-29hrs) Non- Exempt
Direct Report: Lead Pastor

Job Purpose
Provide administrative and organizational support to both the Lead Pastor and the Spiritual Formation Pastor, ensuring smooth day-to-day operations and the effective execution of church initiatives. This role manages schedules, communication, meetings, and special projects for the Lead Pastor, allowing greater focus on vision and leadership. In addition, this position assists with the administrative tasks connected to the Spiritual Formation Ministry — including New Believers, Baptism, Connect Groups, Prayer Ministry, and Ladies Retreats, — helping to support the ongoing growth of all believers.
Duties and Responsibilities

Lead Pastor Support
  1. Serve as first point of contact for Lead Pastor
  2. Prepare correspondence and reports for the Lead Pastor
  3. Maintain the Lead Pastor’s calendar, schedule meetings, conferences, retreats, etc.
  4. Schedule and plan the Lead Pastor’s travel
  5. Plan and prepare materials for team retreats and other meetings
  6. Provide support to the Advisory Board and assist with Directional Team follow-up.
  7. Assist in travel arrangements for guest speakers and missionaries, including booking flights, accommodations, transportation, and itineraries to ensure a seamless experience.
  8. Perform other duties as assigned to support the effectiveness of ministry and church operations.

Spiritual Formation Support
  1. Assist with processes and communication for New Believers and Baptism, including registration, preparation, follow-up, and record-keeping.
  2. Support the Connect Groups Ministry by processing applications, coordinating leader training and meetings, maintaining group registration, and helping promote group engagement.
  3. Provide logistical and administrative support for Prayer Ministry initiatives, including weekly gatherings, seasonal events, and prayer resources.
  4. Assist in planning and coordinating Ladies events, such as retreats, including registrations, contracts, communication, and logistics.
  5. Serve as point of contact for the Event Team Lead coordinating details for Meet the Team, Growth Track, Business Meetings and other special events.
  6. Recruit and Develop Impact Team Leaders.
Qualifications
Abilities & Skills:
  1. Strong organizational and planning skills with the ability to anticipate needs, think ahead, and free the pastors to focus on vision and leadership.
  2. Detail-oriented while keeping perspective on the big picture and overall ministry goals.
  3. Proven ability to develop and support volunteer leaders, equipping them for ministry.
  4. Clear communicator who can explain processes and ensure follow-through.
  5. Self-motivated, able to manage multiple priorities, make independent decisions, and solve problems effectively.
  6. Professional and composed under pressure, with the ability to handle confidential information with integrity.
  7. Proficient with Microsoft Office, Google Suite, and Planning Center; experience with Basecamp or similar platforms a plus; willing to learn new tools as needed.
Experience & Education:
  1. Exceptional interpersonal, written, and verbal communication skills.
  2. Strong administrative and organizational background with leadership experience preferred.
  3. Skilled in editing, proofreading, and creating clear documentation.
  4. Demonstrated ability to work in a fast-paced, multi-task environment while maintaining excellence.
  5. High School Diploma or GED required; additional administrative, ministry, or leadership experience preferred.

Working Conditions
This position operates with moderate supervision, working from objectives set by the Lead Pastor and Spiritual Formation Pastor. Most tasks are carried out independently based on established practices and instructions. While initial guidance may be provided, the expectation is that the Lead Admin will quickly transition to working with general direction, ensuring efficiency and alignment with the Lead Pastor and Spiritual Formation Pastor’s priorities.
Direct Report
This position is not a supervisory position and reports directly to the Lead Pastor.
